Backups & Audit

Protect your data with automatic encrypted device backups and track every action in the organization-wide audit log.

Device Backups

Desktop POS automatically backs up each device's local database to the Backoffice after every shift close. Backups are encrypted on the device before upload and remain encrypted at rest in the Backoffice.

Automatic Backups

A backup is triggered automatically when a cashier closes a shift. No configuration is required — as long as the device can reach the Backoffice, the backup is uploaded as part of the shift-close sync.

Manual Upload

To upload a backup outside of a shift close:

  1. On the Desktop POS device, go to Settings → Backup & Restore.

  2. Click Upload backup now.

  3. The device creates a snapshot of the current database and uploads it immediately.

Viewing and Downloading Backups

In the Backoffice, go to Backups to see all backups grouped by device:

Column

Description

Device

The name of the POS device that created the backup

Created

Date and time the backup was uploaded

Size

Compressed, encrypted size of the backup file

Type

Automatic (shift close) or Manual

Click Download on any row to download the encrypted backup file. Use Settings → Backup & Restore → Restore on the POS device to apply a downloaded backup.

Retention

Backups are retained according to the organization's retention policy, configured under Settings → Retention. Backups older than the retention period are deleted automatically. The Backups page shows total storage used across all devices.

Note: Downloading a backup gives you the encrypted file. You need the originating device's local encryption key (stored on that device) to restore it. Always store device credentials securely.

Audit Log

The audit log records every significant action taken in the Backoffice and on connected POS devices, giving you a complete, tamper-evident history of who did what and when.

Examples

Backoffice admin actions

User created or modified, role changed, device provisioned or retired, catalog edited, settings changed

POS device actions

Shift opened or closed, discount applied, refund issued, void performed, manager-PIN override used, training mode toggled

Filtering the Audit Log

Go to Audit Log and use the filter bar to narrow results:

  • Event type — filter to a specific category of action (e.g., Refund, Role change, Shift close).

  • Entity — filter by the affected object (e.g., a specific user, product, or device).

  • Date range — set a start and end date to focus on a specific period.

Exporting

Click Export CSV to download the current filtered view as a CSV file. Use this for compliance reporting, external audits, or archiving.

Note: The audit log is read-only. No entry can be edited or deleted. Retention is governed by the organization's retention policy under Settings → Retention; entries older than the retention period are purged automatically.

Who Can See the Audit Log

Only users with the Auditor or OrgAdmin role can access the audit log. See Users & roles for details.
